Role Overview
LEAF is hiring an Office and Branch Relations Coordinator to play an essential role in supporting the work of LEAF’s member branches throughout the country and to contribute to the operations of the organization. This is a full-time permanent position with an anticipated start date of July 22, 2024.
Reporting to the Director of Operations, the Office and Branch Relations Coordinator will provide support to LEAF’s overall operational functions as well as advancing the work of our member branches. The ideal candidate will be able to work both independently and as part of a collaborative operations team. They will also have experience in non-profit and/or charitable operations and working with volunteers, including through booking travel or accommodations, assisting with financial processes, onboarding new volunteer members, supporting volunteer branch committees, and assisting with IT needs for LEAF staff.
This is a hybrid position requiring the successful candidate to work out of LEAF’s office in downtown Toronto at least two days a week.

We push for progressive law reform on issues central to gender equality, including sexual violence, online hate, technology-facilitated gender-based violence, and basic income. Who You Are
You are a skilled operations professional with experience supporting the smooth functioning of an organization. You have worked in the non-profit and charitable sector and/or in a small organization, holding responsibility for executing administrative and financial support tasks, such as compiling expense reports. You have demonstrated experience supporting volunteers to contribute to an organization’s work. You are interested in advancing gender equality throughout Canada and want to contribute to this work by ensuring LEAF’s operations continue to meet the needs of the organization. You have excellent interpersonal and communications skills, are resourceful, adaptable, and never afraid to ask a question or seek assistance on a task. You enjoy being part of a team whose members care about their work and about one another. You are committed to your growth as a non-profit and charitable sector professional, in the context of a supportive work environment.
Duties and Responsibilities
Office Coordinator (50%)
- Takes the day-to-day lead in coordinating the overall office operations for LEAF National
- Coordinates the office’s information technology, including assisting with implementing IT systems, liaising with technical support provider, and receiving and working collaboratively to address staff request for technology
- Provides support to the Executive Director & General Counsel, the Director of Operations, LEAF’s Board, and Board committees with respect to scheduling meetings, filing, correspondence, and other administrative tasks
- Collaborates with LEAF staff to provide support for LEAF National events
- Assists LEAF staff with event and meeting planning , including venue, accommodations, travel arrangements, catering, and materials preparation, as needed
- Coordinates intake and referral requests that come to the office (including by referring them to appropriate staff) and supporter emails (including updating donor information and volunteer inquiries)
- Supports LEAF staff in administrative aspects of managing the donor database
- Assists with administrative duties related to LEAF’s recruitment processes, such as ensuring applications are anonymized
- Performs other duties, functions, and responsibilities as assigned
Branch Relations (30%)
- Oversees branch relations and maintains relationships between LEAF National and each of its branches
- Advances the day-to-day work of branches through coordinating and participating in meetings, ensuring monthly reporting is completed, overseeing branches’ various administrative reporting obligations, and ensuring that branch activities are integrated into LEAF National’s work
- Provides operational support to the branch Executive Committees
- Collaborates with LEAF staff to provide support for branch events, as needed
- Provides assistance to branches by monitoring and responding to incoming inquiries to the branch support inbox
- Coordinates the member database, including notifying branches when memberships are set to expire
Financial Administration (20%)
- Works with the Operations team to coordinate and manage relationships with vendors and service providers
- Gathers, collates, and produces Visa expense reconciliation reports
- Receives and coordinates all invoices/statements for payment approval, including inputting them into LEAF’s expense management software
Qualifications and Experience
- At least a two-year college diploma in a relevant field of study or a three-year bachelor degree in a relevant field of study
- Two to four years of work experience in a related role or experience from charities, non-profits, small organizations, or similar volunteering experience
- Strong familiarity with common workplace software and tools, such as Microsoft 365 Suite
- Experience recruiting, onboarding, and supporting volunteers
- Demonstrated ability to work with cloud-based software, such as DonorPerfect, Plooto, SharePoint, and Asana
- Excellent organizational, administrative, time management, and project management skills with demonstrated accuracy and exceptional attention to detail
- Solid verbal and written communication skills, with the ability to express ideas and opinions clearly and effectively
- Robust problem-solving skills and mindset, including the ability to identify problems, research solutions, and propose a path forward
- Ability to work efficiently and effectively, both independently and as part of a team, and to meet tight deadlines when needed
- Functional bilingualism is an asset
Compensation and Benefits
This is a full-time permanent position. The successful candidate will receive a salary between $65,000 – 72,500 and additional benefits that include three weeks’ vacation to start, three weeks of paid sick leave, one week of paid caregiver leave, three paid personal leave days, a week-long December holiday office closure, an annual budget for continuing professional development, and immediate enrolment in LEAF’s comprehensive benefits plan, which includes health and dental benefits. LEAF also hosts celebrations of staff members’ birthdays and significant life events, and enjoys monthly catered team lunches together.
Location
This is a hybrid position. The successful candidate will be expected to work from LEAF’s office in downtown Toronto at least two days per week.
